We can start you with essentially
no cost if you are already dictating on a digital recording device or system
and you have a computer and an internet connection. If not, you will need
to buy a recorder (price range $0-$120 depending on the method that you
choose to use). We are making the assumption that most all offices now
have a computer and internet connection. If not, we can give you some estimates
or contact a local provider for you.

Is there a contract necessary for enrolling in the service?
Yes, we have a no commitment
short agreement form for both of us to sign. We will be happy to send you
a sample. Feel free to question any aspect of the agreement form.

Can I change my contract after we begin to better suit my needs?
Yes, you can do that. Please
understand that the rates differ from plan to plan. Simply contact us and
we will be glad to discuss any different options that might work better
for you

Are there different plans and rates?
We do have different plans
that can be flexed to your specific needs which would include TAT, format
required, type of transcription, and quality of the audio and so on. .

How will the billing work?
We will bill you as per the
contract, and expect payment within 15 days. Each file will be broken out
with total lines for the period, and all rolled into a total. Any detailed
information on any file can be provided on demand.

Whom should I contact for any billing inquiries?

OSI for any billing related question. You can either e-mail or call us. We will be happy to assist you.

Will I be able to contact the Transcriptionist themselves?
You will not be able to contact
the Transcriptionist who transcribed your dictation unless you specifically
request. This is due to the time difference as well as the fact that the
process involves more than one person in making sure of the accuracy of
the transcription. If you would like to have a conference call with the
unit we can arrange that for you. Call or email OSI and we will make sure
that any problem is taken care of.

Can I retrieve my files at a later stage?
Yes. Please request us at
any given time and we can do that.

We understand that patient
record maintenance is of the utmost importance. We backup all files in
two separate locations for safekeeping and also burned onto CD's for keeping
off premises.

If I need to retrieve an old file would I be able to do that?
Absolutely. All file
can be retrieved at a later date. A nominal fee shall be charged after
the first year for the service.

Is there a learning curve?
If we say none we would be
lying. Very rarely there is a small learning curve, mostly the first 2
weeks. Feedback helps us to overcome that very fast. We do not anticipate
a learning curve in Business terminology.

Will someone help me to set up the hardware and software necessary?
Yes. Either your regional
consultant or our tech support from HQ can do that for you.

How do I submit my dictations?
This can be done in several
different ways. You choose the method that is convenient for you. You can
do it on your computer, PDA, over the toll free number that we can provide
you. Using a digital hand held (our preferred method), you can send us
DVD/ CD, VCD, and all file formats, MP3, Wav, DSS, and so on. You can submit
the dictations via FTP (File Transfer Protocols) e mail, and encrypted
if sensitive, you can also use our browser method . We can also capture,
web-casts, telephone calls, video presentations over the internet. If you
have another way and it is not mentioned please contact us.

How is my dictation processed?
When you sign up, you will
be assigned to a Transcription Group based on your specialty and your estimated
dictation load. When you submit a dictation into our system, your assigned
Transcription Group will automatically receive your dictation for transcription.
This Group consists of transcriptionist with a quality assurance supervisor
and English Language specialists with several years of business transcription
experience. All documents are then proof read and edited to create an accurate
document.

How do I receive my transcriptions?
You can receive transcriptions
back in any format you wish, even in multiple formats. You can receive
them by FTP (Which we shall provide you with the information when you sign
up) or e-mail. You can then view and print your transcriptions online or
download them to your computer. The transcriptions are then ready to be
used according to your preference.

Can you use my normals?
We will be happy to incorporate
any normals or canned phrases you may routinely use in your dictation.

How do I open the transcriptions I download?
The transcriptions are returned
in an RTF (Rich Text Format) file or any format you like. This standard
file type can be opened using virtually any word processing program, including
Microsoft Word, WordPerfect, Lotus, etc.

How can I be sure when the transcriptions are ready to be downloaded?
All communication between
your computer and our website is protected. You will be receiving an e
mail as soon as the document is ready.

What turnaround times do you offer?
Our normal rates are for
24 hour turn around time. You can also select turnaround times to meet
your needs, i.e. 48 hours, 24 hours, 4 hours and 2 hours. You may choose different
default turnaround times by report type or you can specify that with each
report.

Do you work on weekends?
Yes we do. We have transcriptionist
working 7 days a week, 24 hours a day. The turnaround time also applies
to weekend dictations.

How much does the service cost?
We charge by per line basis
and turnaround time. The real
rates come very cheap with OSI in comparison to in-house or other
outsourced agencies, at least 20-50%, because of innovative use of transcription
methods like templates, and smooth & informed workflow. Call us or our sales

What does a line of transcription constitute?
We count a 65-character line
where a character is defined as any letter, number or symbol necessary
for the final appearance and content of a document, including the space
bar. To fully understand this, take a transcribed document and open it
in Word 97 or greater. Go to Tools, select Word Count and note the value
shown next to "Characters (with spaces)" and divide this by 65.

Why is your service simple?
We make our pricing very
simple and do not charge you for headers, footers, underlining, and bolding
and so on. It is 65 character line times how many lines in a document.
